Why DutyDesk
Paper systems pass until the day they are tested
Most services do the right things every day. The trouble is proving it, following up when something fails, and keeping it all together across sites and shifts.
Today
Checklists in binders, reminders on WhatsApp, evidence in someone’s camera roll.
With DutyDesk
One live list of what is due today, at every site, for every person.
Today
A failed check is ticked anyway, and nobody follows it up.
With DutyDesk
Every failed answer raises a tracked corrective action with an owner and a deadline.
Today
The week before inspection is spent hunting for signatures and certificates.
With DutyDesk
Every record is time-stamped, versioned and ready to show on the day.
The platform
Everything a compliance routine needs, in one workspace
Built task-first: every requirement becomes work someone owns, completes, and someone else reviews.
Task-led compliance
Home opens on the work that matters now: due today, awaiting review and overdue, filtered by site. Every task has an assignee, an independent reviewer and a controlled status history. Comment with mentions, reschedule, and hand over someone’s work when they leave or go on leave.
Recurring schedules
Daily, weekly, monthly, quarterly, twice-yearly and annual checks are generated ahead in your organisation’s timezone, with annual work appearing weeks before it is due. Edit a schedule and only future, unstarted work changes.
Smart forms and checklists
Build checklists with photos, sign-offs, scoring, repeating groups, calculated values and person, asset and site pickers, plus conditional questions and follow-up rules. Published versions are locked, so an old submission always shows exactly what was asked.
Private evidence vault
Attach photos and PDFs from a phone. Files are checked by content, stored privately and shared only through short-lived links. Submitted evidence is locked.
Corrective actions
A failed answer raises exactly one action with a priority and response time. High and critical actions need evidence and sign-off by a different manager.
Sector starter packs
Install requirements and ready-made checklists for your sector, each one citing its source. Decide what applies, record why, and accept updates only when you choose.
People and credentials
Keep staff records with role-based credential requirements such as vetting, first aid and qualifications. Track verification and see renewals before they lapse.
Risk assessments
Score risks on a versioned matrix, record controls, and require approval from someone other than the author. Scheduled reviews keep assessments current.
Documents and policies
Draft policies from templates written against the regulations, with a generated header and footer. Approve and publish versions, compare them side by side, and see when a template has been updated.
Confidential incidents
Report incidents with severity and confidentiality. Safeguarding concerns and data breaches start restricted: only the reporter and people given explicit access can see them, not even owners by default.
Audits and reports
Run form-based audits whose findings raise actions, see evidence coverage and freshness for every requirement, and export permission-filtered reports as CSV or printable PDF.
Reminders and escalation
In-app notifications and email reminders for work that is due, with escalation to managers when something is overdue. Each person chooses what they are emailed about.
Inspection-grounded knowledge
Built from what inspectors actually find
DutyDesk’s sector knowledge is compiled from legislation, regulator guidance and published inspection reports. Each requirement explains what is needed, the evidence an inspector will ask for, the findings services most often receive, and the checks that prevent them.
Every requirement cites the regulation or guidance it comes from
Published findings are paraphrased and linked to the source report
Suggested checks come with a frequency, ready to schedule
Packs show plainly whether a qualified person has reviewed them

Run monthly fire drills, test alarms and keep fire safety records for 5 years
What inspectors look for
Gaps in the monthly drill record, whether every group and time of day is covered, and whether staff know how to evacuate sleeping babies.
Common finding
In Tusla’s analysis of 2018–2019 inspection reports, most fire safety issues under Regulation 26 concerned missing or poorly kept records.

Measured coverage
Every inspection framework item, mapped and checked
We list every indicator, criterion and signpost in the frameworks inspectors use, then record which DutyDesk checklist, practice or policy template addresses it. Each claim is re-checked by an independent review before it counts.

How it works
From regulation to routine in four steps
1
Step 1: Set up your workspace
Add your organisation, sites and timezone, then invite your team with the right role and site access. It takes minutes, not a project plan.
2
Step 2: Install your sector pack
Start from requirements written against the legislation and inspection findings for your sector. Mark each one as applicable or not, and record why.
3
Step 3: Schedule the checks
Turn requirements into recurring checklists. Staff see their work on any phone or tablet and complete it where the work happens.
4
Step 4: Review, fix and prove
Managers review submissions, failed answers become tracked actions, and every record keeps its evidence, version and audit trail.
Benefits
Clarity for everyone who keeps the service safe
Each person sees exactly the work and records their role needs, nothing more.
Owners and directors
See every site in one place
Know where the gaps are before an inspector does
Decide applicability once, apply it everywhere
Managers and persons in charge
Plan the week’s checks in minutes
Review and return work with a reason
Follow every corrective action to closure
Staff on the floor
A short list of what is due, on their phone
Clear questions with photo evidence
No paperwork to file afterwards
Auditors and inspectors
Read-only access to what they need
Records tied to the exact form version used
Who did what, and when, for every change

Security and trust
Sensitive records deserve serious engineering
Childcare and care providers hold some of the most sensitive information there is. DutyDesk is designed so that access is earned per person, per site, and checked twice.
Isolation enforced in the database
Every record belongs to one organisation, and PostgreSQL row-level security enforces that boundary on every read and write, not just in the app.
Roles and site scopes
Six standard roles, from owner to auditor, with access limited to the sites each person works at. Owners are protected from locking themselves out.
Append-only audit trail
Task transitions, membership changes and approvals are recorded automatically. History is never overwritten.
Private evidence
Evidence lives in a private bucket. Downloads use signed links that expire after 60 seconds, and files are checked by content, not just extension.
Hosted in the EU
Built to run on EU-region infrastructure, with timestamps stored in UTC and schedules computed in your named local timezone.
Immutable versions
Published forms, packs and assessments are versioned. Changing a checklist never rewrites the evidence collected against the old one.

FAQ
Questions we hear most
Is DutyDesk only for Ireland?+
The first sector packs are written for Irish legislation and regulators, starting with early years. The platform itself is jurisdiction-aware, with each organisation’s timezone and sector set at setup, so more jurisdictions can be added as packs.
Does using DutyDesk make us compliant?+
No software can make that promise honestly. DutyDesk organises the work, the evidence and the follow-up so you can show what you do. Packs are guidance with cited sources, not legal advice or certification, and each pack shows whether a qualified person has reviewed it.
Where do the sector packs come from?+
From the legislation, regulator guidance and published inspection reports for each sector. Every requirement cites its source, and published findings are paraphrased and linked back to the report. Packs stay marked as unreviewed until a named, qualified person signs them off.
Can we change the checklists?+
Yes. Edit any form or schedule to suit how your service works. Pack updates arrive as new versions that an admin chooses to accept, and they never overwrite your applicability decisions or customised forms.
Do staff need to install an app?+
No. DutyDesk runs in the browser on phones, tablets and desktops, with layouts designed for each. Staff sign in and see only their own work for the sites they are assigned to.
Who can see our data?+
Only the people you invite, limited by their role and site access. Database-level isolation keeps each organisation’s records separate, and evidence files are never publicly accessible.
Does DutyDesk use AI?+
Only if you turn it on. AI assistance is off by default, and only an organisation owner can enable it, because it sends record text to an AI provider. When on, it can suggest checklist questions, hazards and incident review points as drafts. Nothing is saved until a person reviews it.
Can we try it first?+
Yes. The demo workspace shows the task-led Home and Compliance views with clearly labelled sample data. No sign-up needed.
